Policy Track

The legacy Microsoft Access tool used to track compliance information offered limited filtering, no proactive alerts, and poor usability. Sembit designed the user experience and built a new web application that would present an at-a-glance compliance dashboard, surface expirations at least 30 days in advance, and integrate cleanly with their existing on-premises infrastructure.

Sembit began with pixel-perfect wireframes for every screen so staff could validate the workflow before code was written. The team then implemented and deployed a Kubernetes-hosted web app inside their data center.

Key deliverables included seven core screens (dashboard, contractor list, policy list, contractor edit, policy edit, certifications, and a coverage-requirements matrix) styled to match the approved wireframes, along with many setup screens for the various lookup values used on the main edit screens. The compliance dashboard shows total contractors and counts of in-compliance, out-of-compliance, and renewals due in the next 30 days. Policy and certification management includes copy-from-existing functions, insurance-agent tracking, active and inactive contractor flags, and per-profession coverage minimums, plus exception handling to mark temporary policy waivers and inline validation messages.

The team also delivered Excel export and migrated data from the Access database via Excel, preserving static lookup tables for policy types, certification types, and professions. The full solution was delivered within a 10-week window, on time and on budget.

Staff now have a single portal that flags renewals before they lapse, stores policy PDFs centrally, and lets them generate compliance reports on demand. The ability to verify coverage for every active contractor has reduced liability exposure and prevented project delays, while automated on-premises deployment to their existing data center avoids additional cloud costs and lets their staff easily maintain the solution on their cluster.

Policy Track shows how thoughtful UX design and clean integration with on-premises infrastructure can turn a cumbersome legacy tool into a proactive compliance hub. By centralizing policies, surfacing expirations in advance, and deploying inside their data center, Sembit gave the team a portal they can confidently maintain and rely on every day.
