The Challenge? A Fragile Spreadsheet.
The insurance company was using an Excel-based application to onboard new business customers. Over time, the spreadsheet had grown complex and fragile, with extremely complex formulas, VBA macros for saving copies and maintaining an audit trail, and single-user editing limitations that meant only one person could work in it at a time. Knowledge of the tool was concentrated in a single part-time user, making maintenance risky, and frequent change requests were time-consuming to implement.
The spreadsheet also made workflow coordination difficult, with unclear handoffs between departments and backtracking when required information was missing. There was no meaningful reporting, so management had limited visibility into how long tasks spent in each department or where bottlenecks occurred. Overall, the spreadsheet was no longer scalable or maintainable for their needs.
The Goal? Reliable and Maintainable.
The insurance company wanted a system that could support the full new-business onboarding workflow, handle handoffs between multiple internal departments (sales, underwriting, system services, and member services), and reduce manual coordination and backtracking. It needed to enforce required business rules and validations, provide reporting and process visibility, and be built on technology their IT department could maintain internally, reducing reliance on a single individual. In short, they wanted everything the spreadsheet did, but in a reliable, transparent, and maintainable way.
What We Built? A Web Application.
Sembit built a web-based application to replace the Excel workflow, backed by a relational SQL Server database and built using ASP.NET to align with the customer's Microsoft stack. The system supported the full onboarding workflow from start to finish, with centralized data storage, automated timestamps for completed tasks, automated handoffs and notifications between departments, and validation rules to enforce required information. Rather than migrating historical data, the system was used for new onboarding going forward.
Later enhancements built on this foundation, including pulling customer data from Salesforce to reduce manual entry and handling annual updates to insurance plan offerings. The result replaced the fragile spreadsheet with a maintainable, clearly defined application.
The Results? Stable and Transparent.
The fragile Excel process was replaced with a stable, maintainable web application that improved workflow reliability and reduced missed handoffs, while validation rules reduced backtracking. For the first time, management could see total onboarding time, time spent in each department, and where delays and inefficiencies occurred. Built on a platform their IT team could maintain internally, the system was well received.
